Greater transparency and growth with RFID and TIKOS

How a Swiss textile service company is digitalising its processes with TIKOS, RFID, as well as app and web solutions, thereby creating transparency, process reliability and scalability.

Key Facts

Company  Wäsche Perle AG
Sector  Textil services / laundry
Employees  approx. 100-120
Core focus  Hotel industry & gastronomy
SoCom solutions  TIKOS, texScan app, texRoute app, texPortal order and inventory

End-to-end digitalisation for transparency and scalability

More customers, more textile items, more container movements and increasing service requirements: as a laundry operation grows, the demands for transparency, traceability and process reliability also increase. Wäsche Perle AG therefore digitalised its workflows step by step — with TIKOS as the central platform, RFID for continuous data capture, the mobile app solutions texScan and texRoute for greater reliability in operational execution, and texPortal order and inventory for digital customer processes. The result: faster inventories, at least 50% fewer customer calls, fewer new purchases of roll containers, and a robust foundation for further growth.

Initial situation: Growth increases not only volume, but also complexity

Wäsche Perle AG is a long-established Swiss company with several hundred active customers and a continuously rising textile volume. As the company grew from around 3 to 30 tonnes of textile volume per day over roughly 20 years, the requirements of day-to-day operations changed as well. Processes that can still function in smaller structures through experience, lists or direct coordination must, as the business grows, run reliably, quickly and with system support.

Particularly in rental laundry, container logistics, recurring orders and coordination between administration, production, delivery and the customer, it became clear over the years that without a central data base and digitally supported processes, the workload increases disproportionately.

This is exactly where Wäsche Perle AG took action and needed a solution that not only collects information, but makes it usable in day-to-day operations.

Challenge: Creating transparency and safeguarding knowledge

Even before its growth phase, Wäsche Perle AG was confronted with these questions, which became increasingly important as customer numbers increased and process complexity grew

  • Where is a specific textile item located?

  • Which container belongs to which customer?

  • What information do employees in production, logistics and administration need?

  • How can orders and stock enquiries be handled efficiently?

  • How can knowledge from being lost in people’s heads, Excel lists or telephone notes be prevented?

At the same time, customer service needed to be improved without administrative effort increasing at the same rate. The objective was therefore not only greater digitalisation, but above all a scalable organisation that grows along with the company.

Solution: TIKOS as the central platform

At the centre of the digital process landscape is TIKOS. At Wäsche Perle AG, the software forms the central information and control platform. This is where the relevant data comes together, where processes are managed, and where the basis is created for making information usable for different roles within the business

As the company grew, TIKOS was expanded step by step. This development is a key part of the success story: Wäsche Perle AG was able to start small and expand the solution in line with its own requirements - from the first basic functions right through to end-to-end, digitally supported processes.

RFID and TIKOS: The real added value lies in the interaction

The central success factor lies in the interaction between RFID and TIKOS. RFID makes textiles, circulation cycles and movements digitally recordable. TIKOS ensures that this information is placed into a meaningful process context.

  • Unique identification of textiles
  • Digital recording of movements
  • Basis for traceability

  • Classification into specific process steps
  • Linking with customer, container and route information
  • Use in administration, production and delivery
  • Real-time transparency

Decisions based on real-time data instead of assumptions.

An RFID chip only carries an identifier. It is only through TIKOS that this becomes meaningful information within a process context. In this way, a technical identification is transformed into an operational decision-making basis that delivers real business value.

„The RFID chip alone is of no use. What matters is the system behind it. It was only with TIKOS that our data became usable!“
Lukas Röthlisberger, Managing Director, Wäsche Perle AG

Transparency creates not only control, but also economic value

A central principle at Wäsche Perle AG is: all information belongs in the system. Information should not sit in people’s heads, notes or side lists, but be centrally available in the system. This is precisely where the strength of the SoCom solutions in use becomes particularly clear.

Whether order information from texPortal, movement data via RFID, operational workflows such as route planning, container allocation or even key management via the texScan or texRoute app - everything is stored in TIKOS. The relevant data is therefore not viewed in isolation, but used within an overall process logic.

Knowledge in the system instead of in individuals’ heads

  • Less dependence on individual employees
  • More up-to-date information
  • Faster ability to provide information
  • Better onboarding and process reliability when staff changes occur
  • More reliable workflows even when day-to-day operations change

A decisive building block for stability, especially for growing companies.

Reduce losses

Through the bulk recording of RFID-equipped individual items, inventories could be significantly accelerated, and even supposedly lost textiles could be identified and returned more easily. This saves time, reduces staffing requirements and lowers costs.

Stabilise processes

Through container recording, unnecessary roll containers at customer sites could be identified and returned to the laundry circulation cycle. This saves on new purchases and increases container availability in ongoing operations.
In addition, excessive numbers of containers at customer sites can be invoiced automatically.

Support customers more professionally

Stocks, inventories and container stocks can be analysed and managed more precisely and, where required, billed correctly as well.

Keep administration manageable

By optimising the ordering process, customer calls have been reduced by at least 50%. This leads to noticeable savings in administration while at the same time improving process quality.

Transparency becomes a service tool for hotels and key accounts

The solutions in use not only improve internal workflows. Customers also benefit directly. Digital ordering processes, structured stocktaking support and improved ability to provide information create a much more professional service experience. Especially in hotel industry and gastronomy, it is crucial that orders are easy to place, information is available quickly and queries can be answered reliably.

This also changes external perception: the laundry is no longer seen as a black box, but as a modern, transparent and well-organised service partner.

Today, Wäsche Perle AG can, among other things, track:

  • whether an item is with the customer or in the laundry,
  • how often it has been washed,
  • since when it was last read,
  • which customer or container it is assigned to,
  • and which follow-up actions arise from this.

„Today we can show our customers exactly how often an item has been washed and where it is located. You would not have expected that from a laundry in the past.“ Lukas Röthlisberger, Managing Director, Wäsche Perle AG

Conclusion: Structured growth with RFID and TIKOS

A key success factor was certainly the gradual implementation of the ERP solution. What started as a small set-up with a basic module has today become an end-to-end digitalised and, above all, practical process landscape that continues to support further growth.

Today, the interaction between RFID and TIKOS enables Wäsche Perle AG to achieve:

  • Full transparency
  • Operational reliability
  • Efficient workflows
  • Sustainable growth

Despite strong expansion, administration remained lean. Without TIKOS and RFID, significantly more staff would have been required to support the same number of customers. Instead, Wäsche Perle AG was able to:

  • standardise processes,
  • automate information,
  • manage data centrally,
  • avoid additional administrative workload.

Introduced step by step, grown sustainably

An essential point of this success story is that Wäsche Perle AG did not introduce its solution as a rigid large-scale project. Instead, the digital process landscape was built up and expanded in line with actual requirements. The company started with the TIKOS basic programme and TIKOS container management and supplemented the solution over time to match its own stages of development.

This gradual development is a decisive aspect of software selection for many companies. It shows that investments are worthwhile not only when everything is implemented immediately in one go, but also when a solution is capable of growing along with the business.

Wäsche Perle AG chose exactly this path and today benefits from a system landscape that has grown with the company both organisationally and technologically.

„With SoCom, we were not only able to grow — we were able to grow in a structured way.“  Lukas Röthlisberger, Managing Director, WäschePerle AG
